Senior Administrative Manager – United Kingdom of Great Britain and Northern Ireland

Location: Haywards Heath, preferably 1-2 days per week in the office

Contract: Three-year fixed-term contract

Salary: £31,644 to £39,000 per year

About the role

The primary purpose of the Senior Administrative Manager is to support the Neglected Tropical Disease (NTD) department in functioning effectively and efficiently. This role includes coordinating administrative and support systems, procedures and sub-teams essential to the management of the NTD portfolio.

Background

Sightsavers’ NTD Directorate oversees multi-donor funded projects to control and eliminate five PC-NTDs: onchocerciasis, lymphatic filariasis, trachoma, schistosomiasis and soil-transmitted helminths in 28 countries. These projects are implemented by teams from country offices, ministries of health and partners, with operational and technical support from the NTD Division.

Main Responsibilities

  • Oversee the preparation and renewal of requested consultancy agreements with Human Resources, ensuring that correct procedures are followed and that data is updated.
  • Manage the contractual organization of the team of internationally based technical consultants and work with the relevant Global Disease Advisor to coordinate all aspects of the support missions undertaken by them.
  • Provide professional meeting support for all external NTD meetings with donors and international partners as requested by the NTD SMT. This includes logistics, room reservations, agendas, slides, recording, virtual participation where necessary, and minutes documentation and distribution.
  • Collect the information you need for presentations, communications and reports and manage internal document storage systems (Microsoft SharePoint and Teams).
  • Support Grant Directors and IFT in compiling key donor milestone reports and ensure a fully functional and accessible external ShareFile system for key donor groups as needed.
  • Support communications within the NTD department team and with external stakeholders by distributing newsletters and maintaining contact lists.
  • Coordinate support for all regular internal PDU conversations (recurring invitations, agenda sharing and minute taking) with the help of all members of the admin team.
  • If requested, you provide travel support to the SMT and grant directors.
  • Manage/supervise NTD department coordinator
  • Perform additional ad hoc administrative tasks as needed.

About you

The Senior Administrative Manager has solid experience supporting a complex, far-flung team and excels in coordinating administrative and support systems and ensuring effective implementation of health projects. A small amount of international travel may be required.

Requirements for the job holder

Essential:

  • A-level education or equivalent experience
  • Relevant experience in an administrative support role
  • Proficiency in using programs in the Microsoft suite
  • Very organized and proactive
  • Strong administrative skills
  • Excellent attention to detail
  • Ability to work in a fast-paced environment, manage multiple tasks and prioritize as necessary
  • Strong written and oral communication skills
  • Time management skills
  • Ability to handle sensitive information and maintain confidentiality
