NATURE AND FIELD OF APPLICATION:

In response to a request for proposals from the Canadian Department of Foreign Affairs. Trade and Development (DFATD), WUSC is preparing a proposal for the Field Support Services Project (FSSP), based in Peru and Bolivia. This FSSP is responsible for providing a range of services to support program implementation and policy dialogue on Canada’s international assistance in Peru. These services include, but are not limited to, the provision of technical, administrative, financial and logistical support services.

The Project Coordinator will be responsible for coordinating the delivery of administrative, logistics and financial management services provided by the FSSP.

RESPONSIBILITIES:

The duties of the FSSP Project Coordinator include, but are not limited to:

  • Maintaining and updating relevant project information in manual and/or electronic files
  • Communicate with project management stakeholders on strategic and administrative matters related to the project;
  • Assist in developing, planning, analyzing, evaluating and prioritizing deliverables, documents and requirements;
  • Assist in documenting performance and results achieved for technical specialists;
  • Assist in the preparation and coordination of documentation in response to planned and unplanned reports, feedback and observations to update project progress management;
  • Coordinating requests for and monitoring the implementation of support by Technical Specialists, prioritizing, assessing urgency, setting deadlines;
  • Coordinating project reviews/lessons learned and sharing the information with the project team and/or DFATD, as appropriate;
  • Coordinating logistics services, such as vehicle rental, travel and missions for technical specialists/subcontractors and third parties, as necessary;
  • Implement and coordinate FSS activities for stakeholders;
  • Advise on local government documentation requirements;
  • Collaborate with stakeholders and address issues in a timely and effective manner;
  • Providing briefings to stakeholders, if necessary;
  • Developing/maintaining Bring Forward (BF) and other action point control systems;
  • Research and locate background information, analyze it, extract relevant information and write summaries;
  • Supporting and researching best practices to expand knowledge on local development issues and development strategies;
  • Coordinate, draft and prepare for signing formal project documents and reports
  • Stay informed of and comply with locally applicable laws, regulations and practices, including those governing local workforce management and laws affecting the deployment of local technical specialists and their ability to operate in the programming area;

QUALIFICATIONS AND COMPETENCIES:

  • Advanced degree in a relevant discipline such as political science, law, business administration, finance, accounting, logistics, economics, international development, purchasing, project management, business administration, engineering, applied sciences;

Experience

  • At least four (4) years of experience as a project coordinator
  • Previous experience working in a developing country or working with international development assistance stakeholders, preferably in Peru;
  • Demonstrated experience in supporting the preparation and completion of project documents, including annual work plans and project reports;
  • Demonstrable experience in planning and coordinating administrative and logistics services;
  • Proven experience in communicating with government agencies or their representatives;
  • Proven experience in supporting the achievement of project progress and results, including dealing with project issues and concerns as they arise
  • Attention to detail and sensitivity to confidential information;
  • Demonstrated ability to manage time productively and efficiently and meet changing deadlines;
  • Able to work effectively in a dynamic team environment (both independently and in a small team).

Language

  • Professional proficiency in Spanish and English/French (oral, reading, writing)
