  • Matrix management with HR and administrative staff, Oxfam field office staff and external suppliers.

Purpose of the job

Support the HR department in the administrative management of personnel, contribute to the management of the company’s general services and ensure the smooth running of daily activities.

Tasks of the track

  1. Administrative management of personnel:

    • Drafting employment contracts, amendments and other administrative documents.
    • Manage personnel files (employment and termination, updating data).
    • Keep track of absences and leave.
    • Make sure HR dashboards are up to date.
  2. Support for HR activities:

    • Participate in the recruitment process (sorting resumes, scheduling interviews, welcoming candidates).
    • Contribute to the organization of internal and external training courses.
    • Support in the implementation of HR projects.
  3. General services management:

    • Manage office supplies and oversee orders.
    • Coordinate maintenance and cleaning services.
    • Contribute to the logistical organization of internal events.
    • Participate in the purchase of new articles in collaboration with the logistics department.
    • Perform purchasing tasks and ensure that purchasing processes are followed.
    • Manage the guest house, including bookings, maintenance and ensuring guest comfort.
  4. Administrative support:

    • Handling physical and telephone reception.
    • Manage incoming and outgoing mail.
    • Ensure the archiving of administrative documents.
    • Prepare minutes of meetings and various reports.
    • Manage tickets, hotel reservations and visa applications for employees.

Job requirements

  • Technical:

    • Good command of office programs (Word, Excel, PowerPoint).
    • Knowledge of HR software is a plus.
  • Personal:

    • Strict and well organized.
    • Good communication skills.
    • Discretion and respect for confidentiality.
    • Ability to work in a team and set priorities.

Education and experience

  • Bac +2/3 in Human Resources, Administration or a similar field.
  • 1 to 2 years of experience in a similar position is desirable.
